About the Role
The Secretary is a volunteer board member who helps keep the CCCA organized, informed, and running smoothly. Serving as the association’s administrative anchor, this role supports effective meetings, clear communication, and good governance by maintaining records, coordinating meeting logistics, and ensuring important information is documented and accessible. The Secretary works closely with the Chair and board members to support transparency, continuity, and a well‑functioning board—no prior board experience required, just strong organization skills and a willingness to help.
How will you make an impact?
Supporting Effective Meetings
Help keep board meetings running smoothly by preparing agendas, recording minutes, and tracking attendance.
Support consistency and follow‑through by sharing meeting notes with board members in a timely way.
Keeping the Association Organized
Maintain organized digital and physical records so important documents are easy to find and reference.
Help preserve the association’s history by filing approved minutes and key documents.
Communication & Coordination
Assist with basic administrative communication by monitoring the general inbox and directing inquiries to the appropriate board member.
Support clear communication between the board and the community, especially around meetings and governance matters.
Annual General Meeting Support
Play a key role in preparing for the AGM by helping coordinate logistics and ensuring required information is shared with members.
Requirements
18 + years old
Excellent communication skills, both in person, via phone and written
Excellent organization skills
